Round-up Artist Responsibilities
Artist Responsibilities
a. All artists were invited to this show because of the quality of their work. Please maintain this quality by showing only work that you are proud to put your signature on. The Spicewood Arts Society wants this show to become a well-attended annual event. Quality art and artists will certainly make this goal more attainable, and provide an even better market for your art.
b. All application materials (completed application form, pictures, artist's statement, fees) must be received by the deadline, June 30, 2009.
c. Booths may be shared by two (2) artists if both are accepted independently, and both are present during show hours. The booth fee will be $110.00, however only one (1) entry will be included in publicity materials (i.e. posters, web site).
d. Accepted artists must provide a brief artist's statement (100 words or less). Excerpts of this material, as well as the photographs provided for the judging process, may be used in publicizing this event.
e. The artist must personally be in attendance during all show.
f. Setup for the show will begin at 9:00 AM on Friday, October 23, 2009 and artists are welcome to setup anytime during the day on Friday. Setup of the artist's booth or tent must be complete by 9:00 AM Saturday, October 24, 2009. If you need more setup time or assistance setting up, please notify us as soon as possible so alternative arrangements may be made.
g. Personnel will be on site Saturday night, and we will have a lockup room for high value items.
h. Breakdown shall begin no earlier than 5:00 PM on Sunday
i. Each artist will be responsible for collecting 7.5% sales tax and must have a Texas Sales & Use tax permit in their booth.
j. When you arrive, please go to the festival information table to receive your booth assignment and for any questions you may have about unloading, setup, and parking. The entrance to the grounds will be clearly marked on Highway 71. Drive back to the gate marked as Artist's Entrance, park temporarily until you get your assignment and instructions. If possible, you will be allowed to park on the festival grounds to unload your vehicle, once unloaded, you will be shown where to park.
Advertising
a. The Round-up Committee will provide post cards with show information for mailing to your customers. Please remember to indicate the number of cards you would like to receive on you application form.
b. The Spicewood Arts Society's direct mail/email list includes more than 1,200 individuals known to be interested in the arts.
c. The Round-up Committee will ensure that the festival is included on as many community calendars in the printed media, radio, internet, and art organizations as possible. Any suggestions you may have will be greatly appreciated.
d. There will be multiple banners advertising the Arts Round-up in strategic locations around the Spicewood area and the Round-up site for a few weeks prior to the event.
e. Spicewood Arts Society volunteers will be placing promotional materials in local stores, banks, galleries, etc.
f. The Round-up Committee will ensure that the event will be extensively advertised in the Spicewood area, as well as the Austin, Lakeway, Bee Caves, Horseshoe Bay and Marble Falls' areas.
Liability
a. The Spicewood Arts Society or event volunteers are not responsible or liable for any theft or damage of items being displayed by the artist, and will be held harmless by the artist in the event of any loss or destruction to their art.
b. Personnel will be on site Saturday night, but we are still not liable for theft or damage.
Artist selection process
a. Only fine art will be considered.
b. The artist must produce all items - no reselling will be allowed.
c. Media to be considered: All 2D and 3D art, including ceramics, digital art, drawing/pastel, fiber decorative, fiber wearable, glass, graphics/printmaking, jewelry, metalwork, painting, photography, sculpture, 3-D mixed media, 2-D mixed media, watercolor, woodwork.
d. The primary factor in selection will be quality.
Bad Weather
The stalls and walkway are reasonably covered, so the event will proceed in the case of rain showers. If there is severe weather, making the event unsafe or making parking impossible without damaging the property, the event will be cancelled or delayed. The Round-up Committee will make the decision regarding cancellation on Saturday and Sunday mornings. No refunds will be given.
Setup
Each stall measures at least 10' x 10'. The floor surface is flat and covered with sawdust and hay, so setting up tables or hanging walls should be simple. There is a light bulb in each stall and electric is available. You should plan to bring additional lighting. Each booth will be limited to 350 watts total.
If you are assigned a stall, you will be able to hang things from the rafters with twine/rope. Please no nails, screws, hooks, etc. are permitted.
There is also space (covered) outside each stall where you can hang items or setup on a narrow table.
Tent sites will measure approximately 12' x 12' and electricity will be provided. Please limit lighting to 350 watts total.
